Assign Farm Tasks Without Losing the Handoff

A practical task handoff for a small farm crew: field, date, worker, equipment and completion notes, with clear worker privacy in CropBuddy.
A group message can tell someone that work exists. It is less useful when the instructions, field location and latest plan are spread across several conversations. For a farm with two to ten people, a shared task record can keep those details together without introducing a full HR system.
The aim is a clean handoff: a manager plans the work, the assigned worker can find it, and the manager can review the result. This guide describes coordination in the current CropBuddy web app, not payroll, employment compliance or emergency communication.
Use a separate account for each person
The farm owner sends an email invitation from Team. Check that the worker joins the existing farm rather than starting a separate one. Have them open their own account and confirm they can find an assigned test job. Keep passwords private; passing around an owner login defeats the distinction between farm administration and a worker's daily work.
Owners and managers plan farm-wide work. Workers can view, edit and complete their own assigned work and create tasks for themselves. They cannot view another worker's task list. A farm-wide list visible to every worker is not how CropBuddy currently works.
Write the handoff before assigning it
A useful task answers a few concrete questions:
- What is the job? Use a specific name such as “Check grain-cart tires,” not “Maintenance.”
- Where is it? Link the saved field when relevant, or describe the machine and storage location.
- When is it due? Choose a date and add a time if the work needs one.
- Who is doing it? Select the actual assignee; add more than one only when the job needs a crew.
- What does completion mean? Put the required checks and reporting instructions in the notes or checklist.
In farm task scheduling, the name and date are the starting point. Details & resources holds optional instructions, equipment, materials, subtasks and repeat rules. You do not need to configure every option for a simple inspection.
Make equipment and materials explicit
Select a recorded machine instead of relying on a nickname in a message. Equipment scheduling warns about another booking for that machine on the same calendar date; it is not an hour-by-hour dispatch system. A manager still needs to resolve the conflict and communicate a changed plan.
If a task needs stored inputs, configure the materials and expected quantities. At completion, confirm what was actually used. Keep the unit consistent with the storage record. Planned materials are not a reason to enter a second manual deduction later; see the farm inventory guide for a worked stock example.
Review the result, not just the checkmark
Ask the worker to add a completion note when something matters to the next person: a fault found, work left unfinished or a change from the instructions. The owner or manager can review completed work in the task record. Do not treat task history as a certified timesheet, wage calculation or proof of regulatory compliance.
If a date, assignee or resource changes, update the task record and make sure the person understands the new plan. The app requires a connection to load and save changes. Keep a direct way to contact the crew for urgent instructions or when connectivity is unavailable.
Start with one worker and one real job
Before inviting the whole crew, run one normal task through the handoff. Can the worker find it on a phone? Are the field, machine and instructions unambiguous?
